Council, Committee and Sub-Committee webcast recordings, agendas, minutes and petitions

This privacy notice sets out how the Democratic Services Department for the Royal Borough of Kingston upon Thames will use and process your information.

What type of information is collected about you

The Council streams Council, Committee and Sub-Committee meetings on our public facing webcasting channel and on its Youtube channel. 

The personal information that is broadcast will contain your audio and video personal information. Your name is also broadcast in the meeting to note attendance. You may wish to provide further personal information during the meetings however, this is not required. Any information you decide to provide during the meeting will be broadcast and can be viewed around the world.

Your contact details are also processed to facilitate your attendance to the meetings or to liaise with regarding a petition you have submitted. 

We need your information for the following services and functions:

  • to facilitate your attendance at meetings. If you choose to speak at a Council, Committee, Planning Committee or Licensing Sub-Committee meeting you will be addressed by your name in order that the meeting may run smoothly.
  • to facilitate your submission of petitions. 

Who your information may be shared with

We will share your personal data with other Committee Members and publish your personal information on our streaming channels. 

The legal basis for processing your data

Your comments at meetings will be recorded in order that the Council may perform its statutory duties under various legislation including the Licensing Act 2003, the Town and Country Planning Act 1990 and the Local Government Act 1972.

The Council operates a petitions scheme in accordance with the provisions in the Local Democracy, Economic Development and Construction Act 2009. Whilst the Localism Act 2011 repealed these provisions many councils chose to retain their schemes which provide a formal process for residents to raise issues. 

How long we will keep your information

The Council will continue to hold your personal data for 12 months in audio/visual format on the Council's Public i and YouTube channels.

  • Minutes of all meetings are kept in perpetuity.
  • Your contact details are kept until the end of the meeting.
  • Petitions data is kept for 6 years.
